Finance Coordinator

Position Summary

As a staff member at Louisiana Public Health Institute (LPHI) the Finance Coordinator will report to the Director of Finance and Operations. This position will provide direct support to LPHI staff to ensure effective coordination of LPHI fiscal and operational processes as well as payroll management.

Minimum Qualifications

  • Bachelor's degree from an accredited university plus three to five years related experience required
  • Three to five years of experience in invoice processing and/or accounting preferred
  • Highly organized and self-motivated with excellent written and oral communication skills

Duties and Responsibilities

Invoice processing and payment

  • Maintain vendor information and create new vendor records as needed
  • Code administrative invoices and process all invoices and reimbursements
  • Manage the entire payment process in Microix, including scanning and/or uploading of all documentation to Microix
  • Obtain all necessary signatures, check copies and  release and distribution of check payments
  • Respond to inquiries on status of check payments

Accounting and Audits

  • Provide support to Director of Finance and Operations and CFO for annual program and organizational audits

Accounts Receivables

  • Assist with initial preparation of invoices for assigned funds

• Manage contract tracking and documentation related to contracts, including:

  • Maintain contract tracking
  • Upload all executed contracts to SharePoint
  • Develop/improve functionality, as needed

Payroll Functions  
• Serve as the main liaison with Paylocity
• Perform bi-weekly and semi-monthly payroll processing in Paylocity ensuring staff time, pay and leave are accurate and payroll is processed timely

Other Responsibilities
Credit Card Purchasing and Reconciliation

  • Assist staff with allowable credit card purchases
  • Monthly reconciliation of the LPHI credit card

Office Operations

  • Assists with office space maintenance and floor plans
  • Maintains adequate levels of supplies for program staff; Coordinates program related purchases, including timely delivery of supplies

Finance and Administration Portfolio Team Member

  • Assist F&A team in reaching portfolio goals
  • Serve as a member of the LPHI Administrative Team, collaborate with team members to support finance and operations procedures

Perform other duties as assigned
